The purpose of our Data Protection and Privacy Policy is to outline how we deal with any personal data you provide to us while visiting our website (www.xlvetsskillnet.ie) or registering on a training programmes delivered by XLVets Skillnet.
We respect your privacy and we are wholly committed to ensuring its protection. We assure you that any identifiable data that you provide when using this website will be used only in accordance with this policy. We value your right to the simplest and most transparent understanding of how we conduct our business, in our drive to be GDPR compliant.
By visiting our website (www.xlvetsskillnet.ie) or by registering on any XLVets Skillnet training programme you are accepting the terms of this Data Protection and Privacy Policy; if you do not agree with the terms and conditions you should not use the website.
Personal Information
This is data that identifies you or can be used to identify or contact you and may include your name, address, e-mail address, telephone number and user IP addresses in circumstances where they have not been deleted, clipped or anonymised. Such information is only collected from you if you voluntarily submit it to us.
Non-Personal Information
Like most websites, we gather statistical and other analytical information collected on an aggregate basis of all visitors to our website. This Non-Personal Data comprises information that cannot be used to identify or contact you, such as demographic information regarding, for example, user IP addresses where they have been clipped or anonymised, browser types and other anonymous statistical data involving the use of our website. We use the Non-Personal Data gathered from visitors to our website in an aggregate form to get a better understanding of where our visitors come from and to help us better design and optimise our website.
We collect data when you complete an enquiry form on this website, sign up for our newsletter or register for a training programme. When you engage in any of the above, you will be asked for certain personal details, including a name, company name, telephone and email address. Some events will include a payment processing function, if this is the case, we will collect payment through Stripe using your credit/debit card details.
We store only very limited, if any, financial information that we collect. Otherwise, all financial information is stored by our payment processor, Stripe, you are are encouraged to review their privacy policy and contact them directly for responses to your questions. Read Stripe Security Policy
Events
When you attend an XLVets Skillnet event, we require your name, email address, telephone, and payment information. This information is necessary and used by us in organising and administering the event. If the event is an annual event we will hold your contact details to let you know when it is next being held. If you are a speaker at an a Skillnet event, we will publicly promote your involvement via our social media platforms, media articles, emails and webinars. This data may continue to be processed after the event has ended.
Training
XLVets Skillnet provides a range of training programmes to XLVets Ireland members and also to non members. We are co-funded by Skillnet Ireland and member companies. Skillnet Ireland is funded from the National Training Fund through the Department of Further and Higher Education, Research, Innovation and Science.
The following Trainee Personal Data is collected via the Attendance & Trainee Profile Forms:
This data is transferred from profile forms to the Sonrai Database operated and maintained by Skillnet Ireland. The data collected is the minimum necessary to comply with monitoring and evaluation activities necessary and forms the legitimate interest legal basis for collection under the mandate between Skillnet Ireland and the Department of Further and Higher Education, Research, Innovation and Science.

If you have given us your contact details, we may use these (in accordance with any preferences you have expressed) to send you marketing communications by email, keeping you informed about our upcoming training opportunities.
You have the right to opt-out of receiving marketing communications from us at any time. You can manage your communication preferences by clicking the “unsubscribe” link provided in the marketing emails we send you.
Skillnet Ireland is deemed to be the Data Controller for the personal data recorded for training programmes only. Under the terms of our relationship with Skillnet Ireland, XLVets Skillnet are classed as Data Processors for the purposes of managing personal data obtained for the purposes of managing and administering our training programmes. Any such data obtained through the Skillnet process is only used for Skillnet Ireland purposes and is not used for any other purpose.

We input personal details from soft and hard copy Trainee Details directly into the Sonraí database managed by Skillnet Ireland. Once details have been entered on the Sonraí database, these details are either deleted or shredded within 7 working days of entry.
Personal data will be held on the Sonraí Database for a period of three years from the end of the preceding calendar year. Skillnet Ireland are responsible for maintaining the Sonraí database and removing data as appropriate.
We keep member/non-member contact information garnered from Newsletter sign ups until the we receive a request from that individual to unsubscribe. If you do unsubscribe from XLVets Skillnet communications, we will delete your contact details promptly.
We keep finance information for invoicing purposes for seven years as required by revenue
This information is then shredded/deleted.

This ensures that only the necessary persons have access to your data, that access to the data is protected, and that our security measures are regularly reviewed.
All employees and training providers are required to comply with this Policy when they process personal data on our behalf. Any failure by XLVets Skillnet employees or parties contracted on behalf of the Network to comply with the data protection rules may result in disciplinary action or sanction.
Under the Data Protection Acts 1988 and 2000 we are obliged to update or remove your personal information if you inform us of any changes. You may have your personal data updated or you may find out what personal information we have stored by emailing office@xlvets.ie
We may update our Privacy Policy from time to time. Changes to this Privacy Policy are effective when they are posted on this page and the date of the last update will be clearly visible on the top of this page.
If we ever decide to use personal information in a considerably different manner to that described in this policy, or otherwise stated to you when you agreed to provide your details, we will inform you by email and you will consequently be able to choose whether or not to permit us to use your information in the amended manner.
